What is a VA?

A virtual assistant is an independent contractor who can help your business in administrative, creative, and technical areas from an off-site location.  Virtual Assistants can offer assistance to many industries and they use their own office space and pay their own benefits and taxes.

How Does Using Virtual Assistant Services Save Time and Money?

1.  Virtual Assistants pay for their own taxes and benefits including vacations, sick pay, 401K, insurance, and workers compensation. They also pay for their own office space and supplies, and software. The VA can assist you on an ongoing basis or whenever you need help with a specific project.  This way, time is not wasted on hours that are not worked.

2.  You will not need to deal with employee issues such as someone having to re-learn your business, employee supervision, turnover, or temps with limited skills. We are entrepreneurs and providing quality service to maintain long-term client relationships is important to us. Unlike working with employees, you will not be paying for personal phone chats, internet browsing, co-worker socializing, coffee breaks or other office distractions. The absence of office distractions allows us to complete tasks quickly and efficiently.

How Are You Different from Staffing Agencies?

Unlike a staffing agency, we work remotely and do not have expenses such as recruiter salaries and benefits or expenses for staffing office locations. The expenses of a staffing agency are passed on to you. Since we do not have these expenses, we do not charge for them, which saves you even more money.

What is Your Turnaround Time?

Turnaround time will depend on workload and complexity of your project.  Most basic tasks have a turnaround time of 1-2 business days.  Creative projects or large projects, such as web design may take longer.  If your project is time-sensitive, we will inform you of what the turnaround time will be prior to starting your project. We are committed to delivering all projects on or before the deadline and will let you know if a problem arises. Rush projects will be considered on a case by case basis and are subject to a rush order fee.

How Can We Exchange Information?

The VA and client can easily communicate or exchange information using modern tools such as e-mail, phone, instant messaging, desktop sharing, online calendars, etc.
Using the Dropbox program (which you can download to your computer), you can invite someone to share your files, documents and folders.  The files, documents or folders can be opened anywhere, anytime on any computer and are stored online. We use software programs on our computers to make sure that the projects of clients are secure.  Norton Anti Virus Windows firewall is used for security.  Client’s information is kept confidential and we include a non-disclosure agreement in our contracts.

How Many Hours Should I Sign Up For?

It is up to you to decide how many hours you want to sign up for-just like when you decide how many hours you want to employ an employee. You can try out our service by giving us a couple of projects, and once your are satisfied with our service, you might consider entering a long-term agreement. You know what is best for your business, and we are here to support whatever decision you make. Some of the questions below may help you decide how many hours you need.

What Questions Do You Ask During a Client Consultation?

Here is a list of questions that can help prepare you for a client consultation:

1.  Tell me about your business and what you are looking for?

2.  How much time do you currently spend on the tasks you need help with?

3.  What else do you do during the day and what would you have more time doing once we help?

4.  Are there areas in your business that you are looking to improve such as using new technology or ways we could help you save time and money?

5.  What are your expectations when working with us?

6.  How often do you prefer progress updates?

7.  How long do you need service?  ongoing, one-time, daily, weekly, bi-weekly, monthly, annually?

8.  Preferred contact method?  Ex.:  Email, Skype, Phone, IM?

9.  Where are you located?  Time Zone?

Once we know your needs, we will be happy to put together a contract for you to review. When an agreement has been reached, work will begin.
